Effective Date: September 17, 2024
As a host, you must opt-in to host Official Government Travel. Additionally, guests are only able to select Government Travel” during the booking process for listings that have joined the Crewdogs Government Travel Program. The listing nightly rate do not need to be reduced to host Government travel, they must only agree to the Government Travel Policy below. At any time, you may elect to not host Government travel by making this selection via your listing dashboard.
Any travel which is reimbursed by the Government is considered Government Travel. Where this travel is allowed by a host, there are strict hosting guidelines in place to protect guests during this type of travel. Most times, a travel order is issued for Government travel. A travel order must be either written or electronic and establishes the conditions under which Government travel and transportation is authorized at Government expense. A travel order is almost always required, and satisfies the requirement to book “Government Travel” on Crewdogs. There are exceptions to this, such as reporting to the first PDS, that may not accompany a Travel Order. To ensure Operation Security (OPSEC) hosts may not require guests show this travel order – but you may ask Crewdogs support to validate it.
Standard travel is defined as all travel which is not reimbursed by the government. Hosts are able to select their cancellation policy and dictate late check-out or early check-in charges in line with their listing house rules. When a guest selects Government Travel during the booking process, this reservation will be assigned the Flexible cancellation policy which is below.
Additionally, Government Travel itinerary is dictated by requirements outside of guest control. Therefore, booking modifications due to travel changes constitute a valid reason and cannot be subject to additional penalties or fees. As a host for Government Travel, you agree to the level of flexibility required for this type of travel.
Hosts are able to import, or setup rates for their listings in Crewdogs. These rates may fluctuate based on demand and third-party pricing services like PriceLabs or Wheelhouse. The imported, or self-created rates will be applied for Official Government travel stays independent of locally set Per Diem lodging rates. Hosts may then elect to cap rates at the Per Diem lodging rate by selecting “Per Diem Matching” on their listing pricing options. Per Diem Matching is discussed in details below.
Additionally, the following changes will occur to the calculations for host rates that are presented to the guest during Official Government travel.
To allow hosts and guests an easier option for Government travel, we allow hosts to select “Per Diem Matching” during the listing process. While this is not required, it will allow you to run two independent rate categories for the same listing. This will ensure you take advantage of price increases during highly demanded periods for standard vacation travel, while also creating the opportunity to book Government travel guests by offering per diem rates.
The only requirement to display your home as bookable for Government travel is adherence to our Government Travel policy requirements below, but not necessarily a rate change. There are certain situations where guests on Government travel may opt for a listing that charges above the allowable lodging per diem rates. A few of these circumstances are below.
Lodging taxes are not included in the Continental United States (CONUS) per diem rate. The Federal Travel Regulation 301-11.27 states that in CONUS, lodging taxes paid by the federal traveler are reimbursable as a miscellaneous travel expense limited to the taxes on reimbursable lodging costs. For foreign areas, lodging taxes have not been removed from the foreign per diem rates established by the Department of State. Separate claims for lodging taxes incurred in foreign areas are not allowed. Some states and local governments may exempt federal travelers from the payment of taxes.
